Grain Alternatives: When Call Recording Isn’t the Thing You Need

Grain runs two capture engines side by side. Its help centre spells out the split: Bot Capture “joins your meeting as a visible participant” and produces a full MP4 alongside the transcript, while Desktop Capture records your computer’s audio with no bot, works on any meeting type including Slack huddles and in-person conversations, and saves no media file at all. That’s a genuinely well-designed pair of options. It also means “Grain uses a bot” is the wrong reason to go looking for an alternative.

So why do people leave Grain?

Usually because Grain is a team product priced per seat, and they’re one person. Grain’s free plan caps at 20 meetings and Starter runs $19 per seat per month (checked 22 July 2026, from Grain’s own pricing page). The conversation intelligence, coaching, team performance insights and CRM sync that justify that price only pay off when there’s a team to coach and a pipeline to sync.

The second reason is timing. Grain is retrospective by design. Record, clip, share, review, coach. Nothing in that loop helps you during the call you’re on right now.

What Grain is good at, stated plainly

Grain covers Zoom, Google Meet, Microsoft Teams, Webex and Slack huddles. It transcribes in 130-plus languages with speaker identification. It exports to Claude or ChatGPT in one click and ships an MCP server and API so agents can read your call history. It syncs notes and properties to HubSpot or Salesforce contacts and deals. Auto-record rules can be set per team, internal or external only, and free viewer seats let people read and collaborate without paying.

That last detail is smart pricing design and worth calling out. You only pay for people who record. Everyone else joins as a free viewer and can still read notes, watch clips and comment. For a 40-person company where six people run customer calls, the real bill is six seats, not forty. Most competitors don’t do that.

Video clipping is the feature Grain is genuinely known for. Pulling a 30-second moment out of a customer call and dropping it in Slack so the product team hears the complaint in the customer’s own voice is a workflow Grain built its reputation on. Craqly cannot do this. Craqly does not record video at all.

How Craqly differs from Grain’s desktop capture

Since both tools have a botless desktop path, the honest comparison is between those two paths, not between Craqly and Grain’s bot.

Grain’s Desktop Capture produces transcripts and AI notes, is private by default, requires the desktop app to be active during the meeting, and saves no video. Craqly’s capture produces transcripts and structured session notes, requires the app running, and also saves no video. Architecturally these are cousins. Both sit on the OS-level audio path that Apple documents as ScreenCaptureKit on macOS.

Even the permission prompts look the same. Grain asks for microphone and screen-recording access so it can hear what your computer plays. Craqly asks for the same two, for the same reason. If you’ve already granted them to one, granting them to the other takes about four seconds, which makes running both in parallel for a week a genuinely cheap way to decide. I’d suggest doing that rather than trusting a comparison table, including this one.

Two things separate them.

The first is that Craqly runs a live assistant panel during the session. Five modes, each with its own prompt stack and context layer: interview, sales, pitch, meeting-notes and recruiting. Sales mode loads your battle cards and objection library. Pitch mode holds round details, traction metrics and an investor FAQ. The model answers questions while the other person is still talking. Grain’s AI reads your recordings after the fact and answers questions about them, which is a different and equally reasonable design.

The second is screen-share invisibility. Craqly’s assistant window is marked content-protected, which on Windows maps to the exclude-from-capture display affinity documented in SetWindowDisplayAffinity. Share your screen and the panel isn’t in the capture. Grain has no equivalent because Grain has no on-screen assistant to hide. This matters if you’re the one presenting while also reading prompts.

Grain vs Craqly

Grain publishes Free at $0 and Starter at $19 per seat per month. Business and Enterprise pricing is not listed publicly on the pricing page, so we’re not quoting figures for those. Grain does state there are no required annual contracts, and that upgrades mid-cycle are pro-rated immediately while downgrades take effect at the next billing date.

Who should pick Grain

Pick Grain if you manage a customer-facing team. That’s the honest answer. The whole product assumes more than one person, and the features that cost money are the ones that only make sense with a team: coaching, team interaction insights, auto-share rules per team, deal-level CRM sync, shared clip libraries.

Pick Grain also if you need video. Watching a prospect’s face when they hear the price is information a transcript throws away. Product researchers, customer success leads and sales managers all want the tape, not the text. Craqly has nothing to offer here.

And pick Grain if you want notes from meetings you skipped. Bot Capture handles that. A desktop-only tool structurally cannot.

Who should pick Craqly

Pick Craqly if you’re the person on the call and the call is hard. Interview loops, first pitches, negotiation calls, recruiting screens. If the outcome depends on what you say in the next twenty minutes rather than what you can review next Tuesday, an archive tool is solving a problem you don’t have.

Craqly is also the better fit if you’re one or two people rather than a department. Grain’s per-seat model is fair, but there’s no version of it that beats a single $19 personal subscription when the headcount is one.

An opinion that might be wrong: I think Grain’s Desktop Capture eventually eats its own Bot Capture for most use cases, because the bot’s remaining advantages (video, recording without you) are narrower than they look, and the social cost of a visible recorder keeps rising as buyers get more tired of them. Grain clearly disagrees, since they still ship both, and they have vastly more data on this than I do.
